Digital Operations Manager

The Role
We’re looking for a Digital Operations Manager who can balance the big picture with hands-on delivery. Someone who thrives on structure and efficiency but isn’t afraid to dive into project management when needed.
You’ll be responsible for ensuring that all digital projects are delivered on time, on budget, and to scope — and you’ll step in to directly manage projects when required. This is a hybrid role that combines agency operations, delivery leadership, and project management. You’ll be the operational heartbeat of the agency — keeping delivery pipelines running smoothly, managing resources, and ensuring commercial discipline across all work.
Key Responsibilities
Delivery & Project Management
- Oversee and support the delivery of all digital projects (websites, apps).
- Personally manage selected projects end-to-end — from scoping and planning through to QA and launch.
- Manage the Design Sprint process and implementation within the overall delivery framework.
- Create and maintain detailed project plans, schedules, and milestone tracking.
- Coordinate internal teams (design, development, QA) and manage external freelancers as needed.
- Lead client communications for projects under your direct management — managing expectations, timelines, and deliverables.
- Anticipate risks, resolve blockers, and ensure smooth project execution.
Operations & Process
- Build and refine the agency’s delivery frameworks — estimation, resourcing, QA, deployment.
- Standardise documentation: briefs, SOWs, timelines, and change control processes.
- Introduce delivery metrics and dashboards to track performance (on-time delivery, utilisation, margin).
- Champion continuous improvement in how the team plans, executes, and learns from projects.
- Have a understanding on sprint and agile methodology
Resourcing & Capacity
- Maintain the master resourcing plan — ensuring the right people are on the right projects at the right time.
- Forecast future demand and plan freelancer or partner requirements accordingly.
- Track utilisation and ensure workloads are balanced and sustainable.
- Identify delivery bottlenecks early and adjust resources proactively.
Financial & Commercial Control
- Track project budgets, monitor burn rates, and report against forecasts.
- Ensure projects are delivered profitably and within scope.
- Support leadership with delivery-based financial reporting and forecasting.
- Flag overservicing, scope creep, and margin erosion early — and take corrective action.
Client & Stakeholder Management
- Partner with leadership and client services to support pre-sales and scoping, ensuring Statements of Work (SOWs) are realistic, profitable, and operationally sound before contracts are signed.
- Act as the operational point of contact for clients across live projects.
- Translate business objectives and creative ideas into structured, actionable delivery plans.
- Communicate clearly and consistently — ensuring transparency on progress, risks, and next steps.
- Support client satisfaction through delivery excellence and reliability.
Requirements:
- 5+ years of experience managing digital projects or delivery in an agency, studio, or tech environment.
- Proven track record delivering complex web or mobile app projects end-to-end.
- Strong commercial awareness — confident managing budgets and monitoring project profitability.
- Experience managing resources across multiple projects simultaneously.
- Hands-on ability with delivery tools (JIRA/ Confluence) and with sprint methodology
- Excellent communication and stakeholder management skills.
- Highly organised, calm under pressure, and relentless about deadlines and quality.
- Fluent in English (spoken and written); Polish language a plus.
Nice to Have
- Experience in a small or growing agency environment.
- Familiarity with agile or hybrid delivery frameworks.
- Understanding of technical delivery: APIs, CMS, hosting, CI/CD, QA.
- Experience producing or managing creative deliverables (UX/UI, content, design systems).
